Vendor Guidelines

WILDLIGHT MARKET PLACE VENDOR GUIDELINES

A Farmers & Arts Market

MARKET AND MANAGEMENT: The following are the vendor guidelines for the Wildlight Market Place. We are located on Tinker Street, and will operate from 9am to 1pm on the first and third Saturday of every month, year round, rain or shine. Market Management will be on site for each and every market. Management is ultimately responsible for enforcement of vendor guidelines. We do have the authority to remove a vendor or visitor from the Wildlight Market Place when either vendor’s or visitor’s behavior is disruptive to other participants or guests of the market.

MARKET AND YOUR BUSINESS: Vendors guidelines include compliance with all governmental regulations, statutes, ordinances regarding public safety, health, and welfare. This includes, but is not limited to product labeling laws and required licenses in addition to our vendor guidelines. It is also a vendor’s responsibility to collect any applicable sales tax on all sales at Wildlight Market Place. ONLY those items on your application, and approved by the Market Review & Selection Committee can be sold. If the vendor wants to sell any other item not pre-approved, the vendor must submit a request via email to the market. This preapproval applies to any and all considerations to display or sell proposed new items.

General Items Not Permitted For Sale at Wildlight Market Place:

  • Items not included in a vendor’s application and, therefore, not approved
  • Items substantially handmade by someone other than the vendor
  • Resale, Retail, Flea market trinkets
  • Used items, Antiques, Manufactured items, Imports
  • Works made from kits
  • Build-your-own art activities
  • Orders Only booths

WHAT IS EXPECTED IN A WILDLIGHT MARKET PLACE MEMBER: At the very top of our Vendor Guidelines is for everyone participating in our markets to be Friendly, Courteous, Professional, Positive, Supportive and Demonstrate Mutual Respect for all.

CONDUCT, ETHICS and ETIQUETTE: While market management will make every attempt to be reasonable, please be aware that violators may be banned from future participation even though their work may have been approved and booth space fees paid. Be professional and act in a business-like manner at all times while at the market. Refrain from using profanity or behavior that is physically or verbally abusive or dangerous to market activities. No hawking or heckling. Avoid products that might encroach upon others like scents, candle smoke, and noises like radios. Vendor guidelines also state that vendors may not use illegal mood-altering drugs or alcohol or be under the influence of these substances while participating at Wildlight Market Place.

Wildlight Market Place encourages a professional competitive environment. There are caps placed on certain categories of product. Wildlight Market Place does not facilitate monopolies in the market. The market requires friendly cooperation.

Booths must be staffed by an adult. No aggressive tactics or sales by calling out. No booth sharing of any kind. Vendors who sell out must remain set up in full for the duration of the market with no early breakdown unless approved in advance by market management.

ENFORCEMENT OF RULES: For any violations due to lack of compliance of market guidelines as determined by market management, the following steps will be considered:

  • First Warning is verbal regarding broken rule(s).
  • Second Warning may be verbal or written depending on the violation or circumstance.
  • Final Notice is termination from the Wildlight Market Place, even though your products may have been approved and booth space fees paid.

COMMUNICATIONS: Email is the primary form of communication with market management. Decisions based on phone calls or voicemails like requests for a new product or cancellations will not be considered valid forms of communication. Our email is Info@WildlightMarketPlace.com.

BOOTH DISPLAYS: Although tents are not required, it is strongly encouraged. All tents must be 10×10 and well kept, flame retardant and anchored on all four legs by NO LESS THAN 10lb weights the entire time at the market with inventory/display material/equipment within the confines of your tent. Stakes are not permitted. Market Management reserves the right to regulate various aspects of each display.

BOOTH ASSIGNMENTS: Booth assignments will be determined by market management. On the day of the market event, the market manager will show you to your predetermined booth space.

BOOTH CLEANLINESS: Vendors must keep a clean area in and around their booth spaces throughout the day. All vendor trash must be bagged and carried off by the vendor at the end of the market. There are no available trash receptacles/dumpsters/bins. Make sure your space and grounds are clean before departing. Smoking is not permitted in booth spaces, or within the market’s footprint, during market hours. Smokers must go to areas outside of the perimeter of the market. Out of courtesy to property owners, do not discard the filter on property grounds.

BOOTH FEES AND CANCELLATION: Market Management must be notified by email in advance of canceling a market. You must email prior to the start of the market opening or the booth space will be charged. All vendors may receive one missed market at no charge per calendar year. This only applies if the vendor has a valid excuse such as a family emergency, illness, or significantly inclement weather. For missed markets thereafter, booth space fees will be charged. Excessive missed markets and no show/no call vendors may result in vendor expulsion. A missed market creates missed opportunities for other potential vendors, and it also lessens product offerings to our shopping guests.

There is a $20 charge for returned checks. Any fees due the market must be paid before the vendor is cleared to return for market participation.

WEATHER: Wildlight Market Place operates in all weather conditions. The only exception is in the event of a declared State of Emergency impacting the immediate area, at which time Wildlight Management may elect to cancel and notify vendors in advance. Otherwise, there are no refunds for inclement weather.

SETUP: Setup hours are from 7:00am to 8:30am. All vendors need to plan travel, offloading and setup time so you are FULLY and COMPLETELY setup, and ready for sales at 8:30. The 8:30am setup deadline in our vendor guidelines will be strictly enforced. The market officially opens at 9:00am. Be courteous to vendors setting up beside you.

SIMPLE SETUP STEPS:

  1. From SR 200 (A1A), Enter Wildlight Ave (Wildlight entrance). Turn RIGHT on Homegrown Way (behind Tasty’s). Turn LEFT on Floco Ave. Turn LEFT on Tinker St (market area). Check in with on-site Market Manager.
  2. Drive to your booth space, park as close to your area away from the middle of the road as possible and QUICKLY unload the contents of your vehicle, placing items at the BACK of your booth space.
  3. Park your vehicle offsite and return to setup you booth. This part of our vendor guidelines keeps traffic flow moving.

BREAKDOWN:  Vendors guidelines insist that no one may breakdown their booths earlier than 1:00pm. Under no circumstances are vehicles allowed to enter market area when customers are still shopping, typically 1:15pm. Please be cautious at all times. The vendor’s booth should be packed away, tables broken-down and the tent folded BEFORE bringing the vehicle onsite. Be courteous to other vendors beside you. Enter the market area the same way you arrived in the morning, from the East side of Tinker Street (from Floco Ave). Once loaded, exit Tinker St onto Wildlight Ave. The traffic flow is always the same.

ONSITE TRAFFIC: No vehicles permitted on areas of market operation between 8:30am and 1:15pm unless authorized in advance by market management. ALWAYS enter from A1A into the Wildlight entrance, pass the Rayonier Building and take a right turn around the parking area and enter the market on East side of Tinker Street. This pattern will keep traffic flowing and minimize congestion. Be quick with unloading to lessen traffic backup.

PARKING: Parking is available for vendors away from market area and behind the Rayonier Building.

ELECTRIC ACCESS: Only approved vendors can access electric. No more than 3 plugs per vendor. Vendors are responsible for electric strips and extension cords. 10 gauge cords are recommended. High amperage equipment like space heaters are not permitted. Quiet, low decibel generators are allowed with market approval. Market Management reserves the right to limit or deny electric usage. Management also reserves the right to modify these vendor guidelines. Please report any electric issues to onsite market management.

APPROVED VENDORS WILL NOT BE CLEARED TO PARTICIPATE WITH WILDLIGHT MARKET PLACE UNTIL A VENDOR AGREEMENT, STATING THAT THESE GUIDELINES HAVE BEEN READ, UNDERSTOOD AND AGREED TO, HAS BEEN SIGNED AND IS ON FILE WITH WILDLIGHT MARKET PLACE ADMINISTRATION.

FAILURE TO UPHOLD ANY OF THESE VENDOR GUIDELINES MAY RESULT IN MARKET WARNING OR IMMEDIATE DISMISSAL OF VENDOR(S), EVEN THOUGH PRODUCTS MAY HAVE BEEN APPROVED AND BOOTH RENTAL FEES PAID.
